What never goes into an AI tool
Anything you type, paste or upload into an AI tool leaves your control. Depending on the tool and the account, it may be stored, reviewed or used to train future models.
Never put the following into an AI tool unless your employer has approved that specific tool for it:
- personal data about customers, colleagues or job applicants (names, contact details, account numbers, anything that identifies a person)
- health information or other sensitive personal data
- passwords, access codes, keys or security details
- confidential business information: contracts, prices, plans, legal advice, source code
- anything a customer or partner gave you in confidence
Free and personal accounts are the biggest risk: they usually offer the weakest protection for your data. Use only the tools and accounts your employer has approved, and only for the purposes approved.
Key points
- If it identifies a person or is confidential, do not paste it in unless the tool is approved for it.
- Use work-approved tools and accounts, never personal ones, for work.
